How to track wedding RSVPs
Tracking RSVPs by hand — in a notebook, a thread of texts, or a sprawling spreadsheet — is where headcounts get lost. Here's a simpler system, and a free tool that does it for you.
1. Put every invited guest in one list
Start with a single guest list: name, party size, and which side or group they belong to. One source of truth beats five scattered ones. In Agape & Co. you can also note meal choice, dietary needs, and accommodation right alongside each guest.
2. Mark a clear status for each response
Give every guest one of three states: waiting, yes, or no. In our guest tracker the whole row turns green when a guest says yes and red when they decline, so you can see your confirmed list at a glance instead of scanning a column.
3. Watch your live headcount
As responses come in, your confirmed total updates automatically — and because everything's connected, that number flows straight into your budget (cost per guest) and your seating chart. No re-counting.
4. Chase the stragglers
Filter to everyone still "waiting" a week after your RSVP deadline and follow up. A clear status column makes it obvious who hasn't replied.
